IDOM reduces storage costs by around 50% with GADA-i

IDOM is one of the world’s leading consulting, engineering, and architecture firms, renowned for the complexity and scale of the projects it undertakes. Document management is critical to its day-to-day operations due to the vast amount of technical and project documentation generated and stored across its business. The initial challenge ENCAMINA addressed with IDOM was the optimization of document management and the reduction of data storage costs.

Previously, IDOM stored hundreds of thousands of documents in SharePoint Online, including both active collaborative files and historical archives that were rarely accessed. This resulted in significant storage costs.

IDOM also faced challenges in retrieving valuable information from historical projects due to the sheer volume of accumulated data. The company needed a system that would not only reduce costs but also improve accessibility and efficiency when searching for specific information.

The Solution: ENCAMINA’s GADA-i

To address these challenges, ENCAMINA implemented GADA-i, a solution built on Azure services that enables IDOM to automatically classify, archive, and retrieve documents using Azure AI capabilities.

The solution integrates seamlessly with SharePoint, allowing IDOM to move less active documents to a low-cost Azure storage environment without losing the ability to retrieve them quickly and securely through SharePoint.

The implementation of GADA-i has delivered tangible benefits for IDOM:

  1. Storage cost reduction: Annual storage expenses have been significantly reduced. This has been achieved by transferring more than 100 TB of documents to GADA-i, optimizing the use of SharePoint for active and highly collaborative content.
  2. Implementation of an intelligent auto-archiving system: GADA-i includes auto-archiving rules that enable IDOM to manage documentation according to its operational needs, maximizing storage efficiency while maintaining easy access to information.
  3. Improved document management and volume control: IDOM employees can now archive and retrieve documents independently, resulting in time savings and improved access to information from both historical and ongoing projects.

Why GADA-i?

IDOM selected GADA-i because of its ability to integrate with SharePoint Online, optimizing storage capacity while ensuring that only the most relevant documents remain in SharePoint.

GADA-i provides low-cost Azure storage for less frequently accessed documents, making it an effective solution for an organization managing vast amounts of information like IDOM.

In addition, ENCAMINA has supported IDOM throughout every stage of the process, from file migration to training the internal team to manage and optimize GADA-i. This active project management approach has included weekly review meetings to track progress, identify risks, and ensure a successful implementation.

The implementation of GADA-i has been a success for IDOM, delivering substantial savings, greater efficiency in accessing information, and strategic support for innovation.
